Delta’s international headquarters is located in Bismarck, North Dakota. Currently, our dedicated team consists of almost 100 employees, of which about half work within our headquarters office and the other half work remotely throughout the US and Canada. JOB SUMMARY:
The Procurement Coordinator supports the full procurement cycle, from requisition to order fulfillment. This role involves sourcing suppliers, obtaining quotes, preparing purchase orders, tracking deliveries, and maintaining accurate records. This role also includes oversite of our Industry Partnership asset calendar, procuring IP marketing assets, and distribution of assets throughout the organization where needed. The Procurement Coordinator also assists in Industry Partnership relations to ensure compliance with procurement regulations and internal procedures.
ESSENTIAL JOB FUNCTIONS:
1. Oversee product acquisition for Delta Waterfowl including the events package, annual giving premiums, major gift needs, and inter-departmental requests.
2. Work with Senior Director of Industry Partnerships (SDOIP) in sourcing supplier relationships.
3. Work with the SDOIP in the negotiation process of vendor Contract of Deliverables.
4. Implement Vendor Acquisition process for product submission and selection.
5. Establishment and implementation of timeline for annual deliverables within requirements of Delta Waterfowl’s fiscal year specifications and vendor requirements.
6. Acquire quotes from vendors in conjunction and in alignment with CODs obtained by SDOIP.
7. Prepare purchase agreements in relation to the provided vendor quotes.
8. Record all purchase orders in the organization’s finance and inventory software to ensure they are properly recorded and deducted out of inventory as needed.
9. Oversee Delta Waterfowl’s Preferred Vendor Program and associated platforms in alignment with the SDOIP.
10. Track Deliverables to Delta Waterfowl’s warehouse.
11. Ensuring compliance with procurement regulations and internal procedures for both national and international shipments.
12. Work with SDOIP & Development Operations Leadership Team to ensure budget implementation and organizational compliance with product purchases.
13. Produce & track all corporate sales insertion orders for magazine, electronic media, and email advertising while working directly with SDOIP.
14. Procure & Track Delivery of all advertising assets for distribution to coordinating internal dept.
15. Produce & Communicate with all partners to manage their annual advertising asset calendar.
16. Research, develop, and maintain procurement processes.
17. Other job duties as assigned.
REQUIRED QUALIFICATIONS:

1. Bachelor’s degree in a business-related field and two years of professional experience in higher-level customer service or project management preferred; or four years of professional experience in higher-level customer service or project management
2. Must have excellent communication (verbal and written), interpersonal, customer service, and organizational skills with a meticulous attention to detail.
3. Excellent time management skills with a proven ability to meet deadlines.
4. Strong planning and problem-solving skills.
5. Ability to prioritize and complete tasks in a timely manner.
6. Proficient with Microsoft Office Suite
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to sit, talk and listen. The employee requires dexterity in using telephone, computer keyboard, mouse, calculator and other office equipment. The employee is regularly required to stand, walk, and navigate stairs. The employee must lift and move up to 50 pounds. Vision abilities required by this job include close vision, depth perception and ability to adjust focus. While performing the duties of this job, the employee is required to work in an office environment.
